Self-Service Cancellation
You can cancel your subscription at any time. Cancellation prevents future renewals but does not automatically trigger a refund for the current period.
General Refund Rule
Subscription fees are generally non-refundable unless required by mandatory consumer protection law or an explicit exception applies.
Prorated Downgrades
Mid-cycle downgrades do not result in cash refunds; instead, a prorated credit may be applied to your account for future use.
AUP Violations
Accounts terminated for violating the Acceptable Use Policy or engaging in fraud are not eligible for any refund.
01 — Post-Cancellation Access
If you cancel, you will retain access to your paid features until the end of your current billing cycle.
02 — No Data Holdage
Cancellation does not automatically delete your data; it will be retained or deleted per our Privacy Policy.
03 — Exceptional Refunds
Refund requests based on prolonged, verifiable service outages will be considered on a case-by-case basis.
04 — Dispute Resolution
Unauthorized chargebacks are considered a breach of terms and may lead to immediate account suspension.
Subscription Lifecycle
Active Cycle
Subscription is active. Upgrades take effect immediately; downgrades take effect at the next renewal.
Cancellation Requested
Auto-renew is disabled. You retain full access to paid features until the current billing period ends.
Cycle Ends
Account reverts to free tier or is suspended. No prorated refunds are issued for unused time.
This Refund and Cancellation Policy applies to all paid subscriptions to Prodarchy (Explorer, Starter, Professional, and Agency Plans) and is incorporated into, and should be read together with, the Prodarchy Terms of Service at https://prodarchy.com/legal/terms. Where this Policy conflicts with the Terms of Service on refund or cancellation matters, this Policy governs.
1. Overview
Prodarchy operates a subscription-based, credit-metered SaaS model. This Policy explains how cancellations, downgrades, refunds, and billing disputes are handled across the Free, Explorer, Starter, Professional, and Agency Plans.
2. Free Plan
The Free Plan is provided at no cost as part of Prodarchy's product-led growth model. As no payment is collected, no refund is applicable to the Free Plan. Free Plan limits, credits, and features may change as described in Sections 13 and 14 of the Terms of Service.
3. Subscription Billing Cycles
Paid Plans are billed monthly or annually, as selected at checkout. Annual Plans are billed in a single upfront charge covering the full annual period. Recurring subscriptions renew automatically at the end of each billing cycle unless cancelled before the renewal date, as described in Section 16 of the Terms of Service.
4. How to Cancel
You may cancel a recurring subscription at any time through Account billing settings, or by contacting support at [INSERT SUPPORT EMAIL]. Cancellation takes effect at the end of the current paid billing period — you retain access to paid features through the end of the period you have already paid for, and no further renewal charge will be made.
5. Effect of Cancellation
At the end of the current billing period following cancellation, your Workspace reverts to the Free Plan (or the Services otherwise become unavailable, if no Free Plan tier applies to your usage). Data retention after downgrade or cancellation is governed by Sections 51–52 and 78 of the Terms of Service. You are responsible for exporting any data you wish to retain before the end of your paid period, as export functionality and format availability may be more limited on the Free Plan.
6. Refund Eligibility
Except as expressly stated in this Section, subscription fees are non-refundable once a billing period has begun. This reflects the fact that AI processing costs (Sift enrichment) are incurred by Prodarchy as soon as usage occurs within a billing period, regardless of when in the period you use the Service.
Refunds may be issued at Prodarchy's discretion, or are required, in the following circumstances:
- Duplicate or erroneous charge: where you were charged more than once for the same billing period due to a processing or system error;
- Charge after valid cancellation: where a renewal charge was made after you cancelled through a valid channel before the renewal date;
- Non-delivery of paid functionality: where a paid feature central to your Plan was unavailable for a material portion of the billing period due to a fault attributable to Prodarchy;
- Mandatory refund under applicable consumer-protection law.
7. How to Request a Refund
Submit a refund request to [INSERT BILLING/SUPPORT EMAIL] within thirty (30) days of the disputed charge, including your Account email, invoice or transaction ID, the Plan and billing period affected, and a description of the issue. We will investigate and respond within a reasonable time, generally within 7–10 business days.
8. Refund Timeframes and Method
Approved refunds are issued to the original payment method within the timeframes set by our payment gateway and your card issuer or bank, which is typically 5–10 business days from approval but may vary. Prodarchy is not responsible for delays caused by payment providers, banks, or card networks.
9. Non-Refundable Items
The following are non-refundable except where required by applicable law:
- AI credits already consumed for processing that has completed or begun;
- Add-on capacity (extra seats, storage, or processing) already provisioned and used during the billing period;
- Setup, onboarding, or professional-services fees, once the corresponding work has commenced, unless otherwise stated in a signed statement of work;
- Promotional or discounted amounts, and promotional credits, which have no cash value (see Sections 13 and 22 of the Terms of Service);
- Fees for periods during which the Account was suspended for a violation of the Terms of Service or Acceptable Use Policy attributable to you.
10. Partial-Period and Mid-Cycle Cancellations
Cancelling mid-cycle stops future renewals but does not entitle you to a pro-rated refund for the unused portion of the current billing period, except where required by applicable law or expressly agreed in a separate written enterprise agreement.
11. Plan Downgrades
Downgrading between paid tiers takes effect at the start of the next billing cycle; the current cycle continues at the originally purchased tier and price, and no partial refund is issued for the difference. Where you upgrade mid-cycle, the additional amount is charged on a pro-rated basis for the remainder of the current cycle unless stated otherwise at checkout.
12. Failed Payments and Involuntary Cancellation
Where a renewal payment fails, Section 17 of the Terms of Service applies: Prodarchy may retry the charge, notify you, and, if payment is not resolved within the applicable grace period, downgrade or suspend the Account. No refund is applicable in this scenario since no successful charge occurred.
13. Chargebacks
Please contact us before initiating a chargeback with your bank or card issuer — most billing issues can be resolved faster directly. Initiating a chargeback for a charge you authorized, without first attempting resolution with us, may result in Account suspension pending investigation, as described in Section 21 of the Terms of Service.
14. Agency and Enterprise Plans
Agency and custom enterprise agreements may include specific refund, cancellation, or termination-for-convenience terms set out in a signed order form or master services agreement. Where such a signed agreement exists, its terms govern over this Policy to the extent of any conflict.
15. Currency and Taxes
Refunds are issued in the currency originally charged. Where applicable taxes (such as GST) were charged, refunds are processed net of any tax amounts that cannot be reversed under applicable tax law, or inclusive of tax where required by law.
16. Changes to This Policy
We may update this Policy from time to time; changes apply prospectively to billing periods beginning after the update, and will be reflected by a revised "Last Updated" date. Material changes will be communicated as described in Section 90 of the Terms of Service.

Before publishing and before enabling live payments: insert billing/support email; confirm refund-processing timelines with the selected payment gateway (Razorpay/Cashfree/other); confirm GST treatment of refunds with an accountant; and ensure this Policy is linked from the checkout flow, as most Indian payment gateways require a published refund policy as a condition of merchant account approval.
